Why KPIs Matter in Fleet Management

Indian transport managers often rely on gut feeling and experience to make decisions. While experience is valuable, data-driven decision making consistently outperforms intuition. KPIs (Key Performance Indicators) give you measurable, trackable metrics that show whether your fleet is improving or declining.

12 Essential Fleet Management KPIs

1. Cost Per Kilometre (CPK)

The most important fleet metric. Total operating cost divided by total kilometres driven. Includes fuel, maintenance, driver wages, insurance, and depreciation. Track this monthly per vehicle and fleet-wide.

2. Fuel Efficiency (km/litre)

Monitor each vehicle’s fuel consumption and compare against benchmarks. A vehicle consistently underperforming may have engine issues or a fuel theft problem.

3. Vehicle Utilization Rate

Running hours ÷ Available hours × 100. A healthy fleet should target 70-85% utilization. Below 60% means you have too many vehicles.

4. Vehicle Uptime Percentage

Percentage of time vehicles are available vs in maintenance or repair. Target: 95%+ uptime.

5. Mean Time Between Failures (MTBF)

Average time between breakdowns. Higher MTBF = better vehicle health = better maintenance program.

6. On-Time Delivery Rate

Percentage of deliveries completed within the promised time window. Critical for customer satisfaction and contract compliance.

7. Driver Safety Score

Composite score based on overspeeding events, harsh braking, rapid acceleration, and hours driven. Track per driver and per month.

8. Idle Time Percentage

Time engines run while vehicles are stationary. Each hour of idling wastes 1-2 litres of diesel. Target: below 15% of total running time.

9. Maintenance Cost Per Vehicle

Monthly and annual maintenance spend per vehicle. Compare across fleet to identify problem vehicles.

10. Accident Rate

Number of accidents per 1 lakh kilometres driven. Track trends to measure safety improvements.

11. Compliance Score

Percentage of fleet with all documents valid (permits, insurance, fitness, PUC). Target: 100% at all times.

12. Total Cost of Ownership (TCO)

Complete lifecycle cost of each vehicle from purchase to disposal. Helps make informed buy vs lease decisions.
